OPEN POSITION:
Vice President of Enrollment Management

Reporting Relationships:

Supervises: Admissions Office Staff

Summary: 

The Vice President of Enrollment Management is a member of the school’s senior leadership team and is the key operational manager of the admissions/enrollment process and all marketing/communication campaigns. Using the most current strategies and best practices in admissions and enrollment management methodology, the Vice President of Enrollment Management takes a lead role in the execution of the school’s comprehensive admissions/enrollment and marketing strategy. The ideal candidate will develop unique and creative strategies to engage with prospective and current students, and their families, as well as assisting prospective students throughout the high school discernment process - overall enhancing enrollment and retention.

Duties and Responsibilities: 

A. As a key member of the school’s executive leadership team, the Vice President of Enrollment Management shall: 

1. Meet with the President weekly to provide updates, statistics, and planned initiatives. 

​

2. Serve as a member of the President’s Council, meeting weekly with senior leadership members. 

​

3. Serve as the school representative during all Admissions Committee meetings - serving as a liaison between the Admissions Committee Chairperson (Board Member) and the internal faculty/staff. 

​

4. Serve as a spokesperson for the school during all community, middle school, and parish events. 

​

5. Design and implement short-term and long-term strategies to enhance enrollment growth, retention, and community engagement. 

​

6. Lead the development and execution of an integrated marketing and communications plan to increase the school’s visibility and reputation.

​

 

B. As owner of the enrollment funnel, the Vice President of Enrollment Management shall lead the following initiatives: 

1. Branding - Ensure effective and consistent branding/communication represents our institutional DNA and supports our school’s vision and mission. 

​

2. General/Target Marketing - Implements general and target marketing strategies to enhance positive community rapport and drive attention and attraction towards the school. 

​

3. Micro-Marketing - Implements micro-marketing strategies to develop impactful relationships with prospective and current students/families, their middle schools, and the greater community. 

​

4. Recruitment - Actively recruit prospective students and families to enhance interest in joining our school’s community. Enhance partnerships with local elementary and middle schools to ensure a streamlined admissions process. 

​

5. Application - Streamline application processes for all candidates and assist them throughout all phases of the application process. Collaborate with the President and the Administration during the application review process. 

​

6. Acceptance - Design celebratory acceptance letters, videos, packages, and additional communications to deliver invitations to newly admitted students. 

​

7. Enrollment - Undergo training to operate FACTS Management - our enrollment software. Consistently engage admitted students and families to ensure the successful transition from admission to enrollment. Each interaction is required to be noted within FACTS Management. A “Notes” section is accessible within FACTS Management to track touchpoints. 

​

8. Retention - Implement innovative strategies to build relationships and ensure fulfillment of all students/families - overall enhancing annual enrollment and retention rates. 

​

9. Graduation - Collaborate with all school departments throughout the duration of a student’s high school career to ensure successful graduation. 

​

 

C. As the enrollment manager, the Vice President of Enrollment and Marketing shall: 

1. Work collaboratively with the Admissions Office Staff to help prospective students/families navigate the high school discernment process. 

​

2. Finalize the application checklist, including fees, transcripts, and recommendations. 

​

3. Work directly with the President and Administration to conditionally accept and fully accept students. 

​

4. Create and send acceptance letters, packets, and care packages (when applicable). 

​

5. Provide an updated list of denied students to the Principal for the Principal to communicate the denial to applicants.

​

6. Transition enrolled students to work with the School Counseling Office and Administration for onboarding and scheduling. 

​

7. In correlation with the Business Office, manage the enrollment checklist, including the finalization of annual contracts and tuition payment plans for incoming students and returning students. 

​

8. Minimize and create solutions for friction points in the enrollment process.

​

9. Acquire and manage all prospective student data. 

​

10. Categorize and label all prospective student paper files. 

​

11. Prioritize student retention and strategize ways to reduce/eliminate attrition. 12. Lead all recruiting and onboarding events and programs as assigned. 

​

13. Manage the international student enrollment process. 

​

 

D. The Vice President of Enrollment Management shall oversee:

1. The FACTS Management SIS and Finance software, which includes applications, enrollment agreements, grant/aid and scholarship contracts, tuition contracts, and demographic information. 

​

2. The process of mapping students via FACTS Management to transition students from the admissions office to the academics team. 

​

3. The management of scholarships and financial aid with support of the President, Business, and Advancement Offices. 

​

4. The changes to student tuition accounts with support of the Business Manager. 

​

 

E. As an admissions office representative, the Vice President of Enrollment Management shall work collaboratively with the Admissions Office Staff to: 

1. Create a Parent Admissions Committee (PAC) with dedicated guardians who are interested in assisting as school ambassadors, event managers, and liaisons between the Admissions Office and the greater community. The PAC will also help implement and execute a comprehensive admissions plan. 

​

2. Manage the admissions@hcprep.org email account. 

​

3. Send follow up communications to families through various channels. 

​

4. Collaborate with faculty, coaches, and club moderators to ensure multiple outreach initiatives are executed according to each prospective student’s interests. 

​

5. Manage automated communication templates for various admissions/enrollment stages, including a weekly admissions newsletter.

​

6. Manage social media platforms and produce engaging content daily that is directed to prospective and current students. 

​

7. Manage the Student Social Media Specialist Club to ensure student-involvement with content creation. 

​

8. Clearly communicate with faculty and staff regarding admissions events and updates. 9. Connect with other schools regarding prospective student files (i.e. transcripts). 10. Finalize and clearly communicate all essential admissions calendar dates. 

​

 

F. As the logistician for on campus admissions events, the Vice President of Enrollment and Marketing shall: 

1. Coordinate logistics for all on-campus admissions events, including but not limited to:

a. Fall Open House 

a. Spring Open House 

b. Fall Parent Meet and Greet 

c. HSPT Exams 

d. Lancer Scholars Night 

e. Accepted Students Night 

f. Sibling Day 

g. Enrolled Students Night 

h. Confirmation Retreats 

i. School-to-School Events (i.e. VR Lab Day)

2. Provide a weekly update to all school faculty, staff, Lancer ambassadors with a list of prospective visitors, including their name, school, and likes/interests. Welcome prospective students and families at the start of the day and debrief with them at the end of the day. 

​

3. Coordinate and assign positions/responsibilities to all event volunteers well before the event date. 

​

4. Create and share press releases for all events with local press and partnered schools, organizations, and parishes. 

​

 

Qualifications/Experience: 

1. Bachelor’s degree in marketing, communications, education, business administration, or related field. (Master’s degree preferred). 

​

2. Minimum of 5 years of relevant experience in enrollment management and/or marketing, preferably in an educational or mission-driven organization. 

​

3. Demonstrated success in leading enrollment growth and implementing marketing strategies that have produced positive ROI. 

​

4. Strong commitment to Catholic education and understanding of the mission and culture of a Catholic school.

​

5. Exceptional leadership, interpersonal, and communication skills, including experience with public speaking. 

​

6. Proficiency with CRM systems, digital marketing tools, and data analysis software. Previous experience with FACTS Management, or a similar platform, is preferred. 

​

7. Demonstrated understanding of tuition modeling, financial aid strategy, and net tuition revenue analysis to inform institutional budgeting and long-term financial sustainability.
